Terms of use

Acadence is the online classroom of your tuition centre, run for [Centre legal name] (UEN [number]). By using it you agree to these terms.

Your account

• Your tutor creates your account and gives you a first password. Change it the first time you log in, to one that is at least 12 characters long and that you do not use anywhere else. Never share it, even with friends in your class.
• Tell your tutor straight away if you think someone else has used your account.

Your work

• Submit only your own work. Your tutor may ask you to redo work that is not yours.
• Worksheets, marking schemes and model answers belong to the centre or their owners. Do not share or sell them. Downloaded copies are marked with your details so they can be traced.

Marking

• Your tutor decides every mark. Where the centre uses AI to help, it only suggests marks, and a tutor checks them before you see a result (see the AI marking consent).
• If you disagree with a mark, ask your tutor to look again.

Behaviour

• Be respectful in anything you write. Do not try to access other people's work or break the site.

The centre may suspend accounts that break these terms. These terms are governed by Singapore law. Questions: ask your tutor or the centre.

Privacy notice

This notice explains what personal data Acadence keeps about you, why, and your choices. [Centre legal name] (UEN [number]) ("the centre") is responsible for your data under Singapore's Personal Data Protection Act 2012 (PDPA).

What we keep

• Account details: your name, username, class and, for parents, which child they are linked to.
• An email address you give us (your own or a parent's). We use it only to send you codes to reset your password and to tell you when your password or email changes.
• Your schoolwork: what you write or type on worksheets, photos or files you upload, marks, and tutor feedback.
• Records of activity, such as when you submitted work, for security and to resolve disputes about marks.
• Technical records: when you log in, your device and browser type and IP address, used to keep accounts secure.
• Records of the policies you or your parent accepted, and when.

Why

• To run your classes: give out worksheets, collect and mark work, and show your progress to you, your tutor and your linked parent.
• To improve teaching at the centre, using class-level results inside the centre only, for example which questions a class finds hardest.
• Only if you (or, if you are under 18, your parent or guardian) agree to the separate AI marking consent: to get suggested marks from an AI service. A tutor checks every mark.

Who can see it

• Your tutors and the centre's staff. A parent linked to your account sees your released results and progress.
• Companies that run parts of the service for us and may use your data only on our instructions: [hosting provider], which hosts the site in Singapore; Sendinblue SAS (Brevo), in the European Union, which delivers the password-reset emails (it receives only your email address and the code); and, only with AI marking consent, Alibaba Cloud (Singapore) Pte Ltd (see the AI marking consent). We have written agreements with them that require them to protect your data.
• Some AI processing takes place on servers outside Singapore. We only allow this when the provider is bound to protect your data to a standard comparable to the PDPA.

How long

We keep your work, marks and feedback while you are enrolled and for 12 months after you leave, then delete them. AI suggestions and the text read from your work follow the same rule. Records of consents, and the log of who changed a mark, are kept for [N] years after you leave, in case of a dispute. The centre's monthly billing records, which list the account numbers of students who submitted work that month (no schoolwork), are kept for 7 years as financial records and are not changed if an account is later deleted. Backups are overwritten within [N] days.

Your choices

• You or your parent or guardian can ask to see or correct your data. We will reply within 30 days, or tell you when we can reply.
• If you withdraw a consent, we stop that use. You can withdraw the AI marking consent yourself on your profile page under Policies and agreements. If you withdraw the Terms or Privacy consent, we may not be able to keep your account, but we will still give you your marks.
• Parents and guardians: if your child is under 13, we need your consent before your child uses Acadence. For AI marking, we ask a parent or guardian of every student under 18. You can see, correct or withdraw consent for your child's data in the same way. A linked parent sees released results and progress only.

If something goes wrong

If your data is lost or seen by someone who should not see it, and it could cause you harm, we will tell you, and your parent or guardian if you are under 18, and the PDPC, as the law requires.

AI marking consent

This is optional. If you are under 18, we ask your parent or guardian to agree for you. If they agree, the centre may use an AI service to suggest marks for your worksheets. A tutor checks every suggestion and decides the mark before you see it. If you do not agree, your tutor marks your work as usual. Nothing else changes.

What is sent

• Images of your worksheet pages and your answers, the questions and the marking scheme.
• Not your name, username or account details. If you write your name on the page, it will be in the image, so please leave it off.

Where it goes

• Alibaba Cloud (Singapore) Pte Ltd, through its Model Studio service (Qwen models). Your work is received and stored in Alibaba Cloud's Singapore region, but the AI may process it on Alibaba Cloud servers in other countries (not mainland China): [countries, once Alibaba confirms]. Alibaba may use your work only to give us the suggested marks. It says it never uses customer data to train its AI. It keeps a copy for [period] and then deletes it.
• The centre may also run text recognition on its own server. Text recognition may also be done by the same Alibaba service.
• We do not use any other AI company for your work. If that changes, we will ask again.

What is kept

• The suggested marks, the text the AI read from your work, and your tutor's decision, so tutors can check and improve the marking. These follow the retention in the Privacy notice.
• If you think a mark is wrong, ask your tutor. A tutor will look at your original work, not the AI's reading of it.

Changing your mind

You, or your parent or guardian if you are under 18, can withdraw this consent at any time on your profile page under Policies and agreements. AI marking stops for your future work straight away. Suggestions already made stay in your record as described in the Privacy notice. Copies at Alibaba are deleted on its schedule (above).
